Why Printed Newsletters Still Drive Results

In a world of email overload, a printed newsletter stands out. Physical publications carry authority, trust, and permanence that digital newsletters cannot replicate — especially for member retention, donor stewardship, and brand authority.

USPS Flat (Newsletter) Size Requirements

USPS classifies newsletters as "flats" — a category that includes large envelopes, newsletters, and magazines. Source: USPS Postal Explorer (pe.usps.com/businessmail101?ViewName=Flats).

Postage Savings Tip: Fold to Letter-Size

If your newsletter can be folded to letter-size (max 6.125" × 11.5") and sealed with a wafer seal or tab, it qualifies for the significantly lower letter postage rate — saving $0.30–$0.50 per piece on large mailings. Mail Movers will advise you on the best format for your content and budget.

Binding Types & Page Count Guide

The right binding type depends on your page count, budget, and the impression you want to make. Mail Movers will recommend the best option for your specific project.

📄

Self-Mailer (Folded & Tabbed)

1–4 pages

A single sheet folded and sealed with wafer seals or tabs. No envelope, no binding — the most economical format. USPS requires the fold on the bottom and the open edge sealed at the top. Ideal for simple 4-page newsletters.

Best for: Simple 4-page newsletters, event programs, announcements

Cost: Lowest cost

📋

Saddle-Stitch (Stapled Spine)

4–64 pages

Sheets are nested and stapled through the spine. The most common binding for newsletters, booklets, and catalogs. Pages must be in multiples of 4. Economical, durable, and lays flat when open.

Best for: Newsletters, catalogs, program books, annual reports up to 64 pages

Cost: Low to moderate

📚

Perfect Binding (Glued Spine)

65+ pages

Pages are glued to a flat spine, creating a paperback-book appearance. Required for publications over 64 pages. Gives a premium, professional look. Spine can be printed with title and issue date.

Best for: Annual reports, thick catalogs, member directories, reference guides

Cost: Moderate to high

🗒️

Spiral / Coil Binding

Any page count

Plastic or metal coil threaded through punched holes. Lays completely flat when open — ideal for workbooks, reference materials, and training guides. Not suitable for mailing as a self-mailer.

Best for: Workbooks, training manuals, reference guides, cookbooks

Cost: Moderate

Page Count Rule: Multiples of 4

For saddle-stitch binding, page count must be a multiple of 4 (4, 8, 12, 16, 20... pages). Each 11×17 sheet produces 4 pages. If your content doesn't fill a multiple of 4, we'll add blank pages or use the extra space for ads, a calendar, or a contact directory.

Paper Stock Options

Paper stock affects print quality, perceived value, mailing weight (and therefore postage cost), and reader experience. Mail Movers will recommend the best combination for your newsletter.

Newsletter Campaigns by Industry

Printed newsletters serve different purposes across industries. Here are the most common use cases and recommended approaches.

Member Newsletters & Donor Stewardship Publications

Nonprofit & Associations

Nonprofits and membership associations use printed newsletters as their primary tool for member retention, donor stewardship, and community building. A quarterly printed newsletter keeps members engaged between events and fundraising campaigns. Mail Movers is experienced with USPS nonprofit postage authorization — reducing postage to as low as $0.390/piece for flat-size newsletters (July 2025 rates).

Recommended Formats

  • 11×17 folded to 8.5×8.5 (4-page)
  • Saddle-stitch booklet (8–16 pages)
  • Nonprofit Marketing Mail presort

Pro Tip

Include a reply card or QR code in every issue to capture donations, renewals, or event registrations. Nonprofits that include a giving opportunity in their newsletter see 15–25% higher donor retention.
