Postage Savings Tip: Fold to Letter-Size
If your newsletter can be folded to letter-size (max 6.125" × 11.5") and sealed with a wafer seal or tab, it qualifies for the significantly lower letter postage rate — saving $0.30–$0.50 per piece on large mailings. Mail Movers will advise you on the best format for your content and budget.

The size and fold of your newsletter determines which USPS postage class it qualifies for — and that can significantly impact your mailing cost.
| Size / Format | USPS Class | Postage Rate | Notes |
|---|---|---|---|
| 8.5" × 11" (folded to 5.5" × 8.5")Popular | Letter | Letter rate | Single sheet folded in half. Must be sealed with wafer seal or tab. Most cost-effective option. |
| 8.5" × 11" (unfolded, flat) | Flat | Flat rate | Unfolded 8.5×11 sheet. Qualifies as flat — higher postage than folded version. |
| 11" × 17" (folded to 8.5" × 8.5")Popular | Flat | Flat rate | Most common 4-page newsletter format. Full-color front and back, 2 interior pages. |
| 11" × 17" (folded to 5.5" × 8.5") | Letter | Letter rate | Folded to letter-size. Must be sealed. Saves postage vs. flat rate on same sheet. |

The right binding type depends on your page count, budget, and the impression you want to make. Mail Movers will recommend the best option for your specific project.
1–4 pages
A single sheet folded and sealed with wafer seals or tabs. No envelope, no binding — the most economical format. USPS requires the fold on the bottom and the open edge sealed at the top. Ideal for simple 4-page newsletters.
Best for: Simple 4-page newsletters, event programs, announcements
Cost: Lowest cost
4–64 pages
Sheets are nested and stapled through the spine. The most common binding for newsletters, booklets, and catalogs. Pages must be in multiples of 4. Economical, durable, and lays flat when open.
Best for: Newsletters, catalogs, program books, annual reports up to 64 pages
Cost: Low to moderate
65+ pages
Pages are glued to a flat spine, creating a paperback-book appearance. Required for publications over 64 pages. Gives a premium, professional look. Spine can be printed with title and issue date.
Best for: Annual reports, thick catalogs, member directories, reference guides
Cost: Moderate to high
Any page count
Plastic or metal coil threaded through punched holes. Lays completely flat when open — ideal for workbooks, reference materials, and training guides. Not suitable for mailing as a self-mailer.
Best for: Workbooks, training manuals, reference guides, cookbooks
Cost: Moderate
Page Count Rule: Multiples of 4
For saddle-stitch binding, page count must be a multiple of 4 (4, 8, 12, 16, 20... pages). Each 11×17 sheet produces 4 pages. If your content doesn't fill a multiple of 4, we'll add blank pages or use the extra space for ads, a calendar, or a contact directory.
Paper stock affects print quality, perceived value, mailing weight (and therefore postage cost), and reader experience. Mail Movers will recommend the best combination for your newsletter.
| Stock | Weight | Finish | Best For | Notes |
|---|---|---|---|---|
| 60# Text (Uncoated) | 60 lb | Matte/uncoated | Interior pages, economical newsletters | Lightweight; similar to standard copy paper |
| 70# Text (Uncoated) | 70 lb | Matte/uncoated | Interior pages, upgrade from 60# | Better ink coverage; most popular interior stock |
| 80# Text (Coated Gloss) | 80 lb | Gloss coated | Color-heavy newsletters, marketing publications | Excellent color reproduction; photos pop |
| 80# Text (Coated Matte) | 80 lb | Matte coated | Text-heavy publications, professional feel | Easier to read; no glare under fluorescent lights |
| 80# Cover | 80 lb | Coated or uncoated | Newsletter covers, booklet covers | Standard cover stock; durable and professional |
| 100# Cover | 100 lb | Coated or uncoated | Premium covers, annual report covers | Noticeably thick; signals quality and investment |
Note: Heavier paper stocks increase mailing weight, which may increase postage costs. Mail Movers will calculate the total mailing weight and postage for your specific project before printing.
Printed newsletters serve different purposes across industries. Here are the most common use cases and recommended approaches.
Nonprofit & Associations
Nonprofits and membership associations use printed newsletters as their primary tool for member retention, donor stewardship, and community building. A quarterly printed newsletter keeps members engaged between events and fundraising campaigns. Mail Movers is experienced with USPS nonprofit postage authorization — reducing postage to as low as $0.390/piece for flat-size newsletters (July 2025 rates).
